WT AGM - 18 June 2020

As previously mentioned, the Windsurfing Tasmania AGM will be held this year via a Zoom meeting.

Date is Thursday 18th June 2020
Time 7pm.

Zoom meeting invite/details to be sent at least 48 hours prior to meeting time to registered attendees.
Prospective attendees can express interest either by response to the TidyHQ formal notification (to be sent) or,
If there are interested, Non-Members who might want to become involved with the committee/association can contact me via Seabreeze pm.

Formally the requirements of the AGM are;
(a) to confirm the minutes of the last preceding annual general meeting
(b) to receive from the committee, reports on the transactions of the Association during the last preceding financial year (Treasurer's report)
(c) to confirm the election of the President of the Association and the other officers and committee members

Prior notice of 14 days is to be provided on:
d) Confirmation of other business to be transacted at the meeting (see below)
e) Which Committee positions are available to be filled and seek nominations for these positions prior to the AGM. All positions are assumed vacant and open for nomination.
f) The President's position will be open for nomination, as I have taken over the role since the previous AGM held in March 2019 as per the Rules of Association.
g) Nominations for vacated Committee positions will be by Seabreeze as the official public platform, any unfilled positions may be filled at the AGM.
h) If any specific issues of members or interested parties are to be raised, please send me a pm through Seabreeze.

Of interest to members might be the following agenda items:
- Update on the AWA Insurance and some changes that improve coverage of non-WT events run by sailing association clubs.
- Proposal to change Social Membership classification to "Affiliate Membership" in recognition of the increased level of crossover with Sailing Australia and the WCAA.
- Learner/Hire board management to support learner days ongoing (WT and others).
- Proposal to consider support for "Train the Trainer" in conjunction with SBSC to provide accreditation of a WT Instructor.
- Confirm membership fees for 2020-21 Season to allow TidyHQ processes to be updated for 30 June.
- Other matters raised, per h) above.
- Calendar considerations to deliver planned events more consistently


Yes, it all sounds a bit formal, but them's the rules.
Hope you can attend and support WT into the future.

Yeah, it does sound a bit stuffy Damo, but that's the formal part pretty much covered above.
Zoom seems to work for most people, including less technically minded so under the circumstances....

I'm happy to continue on the committee in any role and would support other nominations for President also .

If anybody is interested in committee roles, feel free to put your hand up, it would be great to see some new faces and particularly some of the more youthful sailors.

This is happening tomorrow! The aim is to keep the meeting pretty quick and not get bogged down in any particular issue. Google groups has always been a better forum for the more complex issues. I would encourage people to take part and at least listen in . WT is solidly financial at the moment and this meeting will be part of deciding on our focus over the next 12 months.

Sorry I couldnt attend meeting folks. Am away..and now hungover.
My only thoughts are to loosely plan 1 or 2 learner/race days particularly at Dorans where we can teach in the morning and then lend out boards for an informal race with perhaps a few prizes. Maybe 1 pre Christmas and one after.

Would be funny to get a few short boarders racing around the bouys for beer.

Advertise on highway, Facebook before event. Weekend is confirmed when weather best suits.

Also think we should lobby council for a shelter and water access at Dorans. Shelters are everywhere these days. After 30 years of use Dorans still has no evidence windsurfers go there and no 'meeting place' structure.

Apologies for the lack of follow up, but I can confirm that the AGM went ahead on the 18th June successfully with the required quorum of members present by Zoom online meeting with roughly 50/50 representation from North and South, which is a positive outcome. There was a good representation from Windsurfer Class participants and their input going forward is welcomed. The minutes will be made available to members when finalised, but the key outcomes are summarised as:

Committee Officers appointments:
President - Me
VP & Public Officer - Clarence
Secretary - Jo Chau
Treasurer - Al Cook

Committee Members:
Kris Bird
Tim Bannerman
Dave Morehead
Ben Nitschke

The committee also recognises the historical and important support provided by Kaleb & Steve Charles in the Freerace and Dash for Cash events (noting that D4C is not a WT event) and would hope that their involvement continues in whatever capacity they are able to support the committee.
Particular recognition and thanks to Gill who managed the Secretary/Treasurer role prior to TidyHQ, which would have been a bit like herding cats with memberships, banking, AWA, insurances and the like.
Also to those who have helped to store and manage WT equipment, taking up their personal space and time.

Memberships have been reclassified as "Affiliate" and "Competitor" to reflect the increasing number of WCAA members joining to provide 3PL insurance cover. Membership fees have been held at $35 & $50 respectively.

I note that the Affiliate membership is effectively $10 a year more than full membership through WCAA (including insurance), versus holding both memberships, but the intent/commitment is for most/all/more of that difference to be returned to participants through prize money support for the WCAA State Titles (when they occur). Hopefully WCAA members will be willing to support and have a voice in WT.
I've tested the Competitive Members payment process now published at windsurfing-tas.tidyhq.com/public/membership_levels

The association is in a good financial position and the committee will look at options for either reinvesting current reserves in learner equipment and other benefits to members or committing prize money to encourage greater participation.

The calendar will be pared back this year to try to hit the right balance of aspiration and the ability to deliver, with a meeting planned soon.
